The IT Asset Management Associate role is responsible for executing the Information Technology Asset Management (ITAM) processes to ensure a compliant and optimized IT hardware and software environment. This role ensures efficient asset tracking, procurement, deployment, compliance, and disposal of hardware and software assets, aiming to optimize costs while maintaining data accuracy. The ideal candidate will bring experience in IT hardware and software management, asset lifecycle best practices, and strong organizational skills.

Responsibilities

  • Hardware and Software Lifecycle Management: Oversee the complete lifecycle of IT hardware and software assets, from procurement and deployment to retirement and disposal, ensuring data accuracy and compliance throughout.
  • Inventory and Licensing Tracking: Maintain an accurate inventory of all hardware and software assets, including tracking software licenses and ensuring timely updates and audits to verify asset location, usage, and status.
  • Procurement Coordination: Collaborate with procurement and IT teams to facilitate timely acquisition of hardware and software assets, managing vendor relationships to meet organizational needs and negotiate favorable terms.
  • Compliance and Documentation: Ensure compliance with asset management policies, software license agreements, and industry regulations; document procedures, standards, and best practices for hardware and software asset management.
  • License Management and Compliance: Monitor software license usage, renewals, and compliance with licensing agreements; identify unused or underutilized licenses to optimize software costs.
  • Cost Optimization: Identify opportunities to optimize costs by reviewing and forecasting hardware and software needs, managing leases, planning for bulk purchases, and reducing excess inventory.
  • Asset Disposal: Manage end-of-life hardware through environmentally responsible disposal or recycling processes, ensuring secure data erasure; coordinate decommissioning of software assets in compliance with regulatory standards.
  • Reporting and Analysis: Generate regular reports on asset utilization, lifecycle status, and inventory levels; conduct data analysis to support strategic planning and decision-making for hardware and software assets.
  • Process Improvement: Continuously assess and improve asset management processes for efficiency, scalability, and accuracy.

Minimum Qualifications

  • A bachelor's degree is required.
  • Visa sponsorship will not be provided for this position.
  • Candidates for this position must be authorized to work in the United States on a full-time basis for any employer without restriction.

Additional Qualifications

  • 2 - 3 years working in an IT environment or equivalent experience.
  • Working knowledge of software licensing.
  • Experience with inventory systems, asset tracking, and license compliance.
  • Proficiency in asset management tools and software, as well as Microsoft Excel; experience with ServiceNow and Power BI preferred.
  • Skills and Competencies:
    • Strong analytical and problem-solving skills.
    • Excellent organizational skills with a high attention to detail.
    • Ability to manage multiple tasks and deadlines effectively.
    • Knowledge of IT procurement processes, vendor management, and license compliance.
    • Strong written and oral skills required.
    • General understanding of business requirements and how to translate these requirements to build and write reports.
    • Initiative for process improvement.
    • Strong customer service.
